SubFinder is a product of Comeback Gear LLC (“Company,” “we,” “us,” or “our”), operating as a limited liability company. The platform functions as a substitute teacher management and notification system that enables schools and childcare centers to find and coordinate substitute teachers through SMS-based notifications and a web-based management dashboard.

This Privacy Policy covers information collected through the SubFinder platform, including the web application at subfinder.dev and related services.

2. Information We Collect

Information Administrators Provide

• School or center name, contact information, and classroom details
• Account credentials (email address, password)
• Substitute teacher roster data including names, phone numbers, and availability
• Job request data including dates, times, classrooms, and coverage needs
• Message content created and sent through the platform

Information Substitute Teachers Provide

• Phone number (provided by the school administrator during onboarding)
• Responses to job offers submitted via SMS (Y/N, CANCEL)

Information We Collect Automatically

• Message delivery status and response timestamps
• Platform usage data (pages visited, actions taken within the dashboard)
• Device type and browser information
• IP address and general location

3. How We Use Your Information

We use collected information to:

• Operate and provide the SubFinder platform and its features
• Deliver SMS notifications to substitute teachers on behalf of school administrators
• Track message delivery, responses, and job assignment status for administrators
• Process job offer responses and auto-assign substitutes when enabled
• Improve the platform and diagnose technical issues
• Comply with legal obligations
• Communicate service updates, security notices, and support responses

We do not use substitute teacher data for advertising, marketing, or any purpose other than facilitating the operational communication requested by the school administrator.

4. SMS Messaging and Communications

SubFinder sends SMS messages to substitute teachers on behalf of school administrators for operational purposes including:

• Substitute teacher job offer notifications
• Job assignment confirmations
• Cancellation and schedule update notifications

Opt-Out: Substitute teachers can reply STOP to any SubFinder SMS message at any time to opt out of future messages. Upon receiving a STOP message, SubFinder will immediately suppress further SMS delivery to that number. Replying HELP provides support information.

Message and data rates may apply based on the recipient’s mobile carrier plan. Messaging frequency varies based on school coverage needs.

Substitute teachers are added to the SubFinder platform by their school administrator as part of their working relationship. The administrator is responsible for ensuring substitutes are informed of and have consented to receiving operational SMS communications from SubFinder.

5. How We Share Your Information

We do not sell personal information. Information is shared only under these circumstances:

Service Providers: We work with third-party vendors for platform operation, including SMS delivery providers, cloud infrastructure providers, and email delivery services. These providers are contractually bound to use data only as directed and consistent with this policy.

Administrators: Substitute teacher response data (acceptance, decline, response times) is visible to the school administrator who manages that substitute within the platform. This constitutes core service functionality.

Legal Requirements: Information may be disclosed if required by law, regulation, legal process, or governmental request.

Business Transfers: In the event of merger, acquisition, or asset sale, user information may be transferred as part of that transaction with user notification of any such change.

We do not share personal information with third parties for their own marketing purposes.

6. Data Retention

Account and operational data is retained for as long as an administrator account is active and for a reasonable period thereafter for legal and operational purposes. Administrators may request account data deletion by contacting us.

SMS delivery records and message logs are retained for operational reliability and compliance purposes. Substitute teacher records are retained for the duration of the school’s account or until the administrator removes the substitute from their roster.

7. Security

We implement reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. This includes encrypted data transmission (HTTPS), access controls, and secure infrastructure hosted by reputable cloud providers.

No method of transmission over the internet is 100% secure. While we work to protect information, absolute security cannot be guaranteed.

8. Your Rights and Choices

Administrators may access, correct, or delete their account information and substitute data through the platform dashboard or by contacting us directly.

Substitute teachers wishing to access, correct, or request deletion of their personal information should first contact their school administrator. Substitutes may also contact us directly, and we will work with the administrator to respond to the request.

SMS Opt-Out: Replying STOP to any SubFinder message immediately stops receiving SMS communications.

Depending on your location, you may have additional rights under applicable privacy laws. We will respond to rights requests in accordance with applicable law.

9. Children’s Privacy

SubFinder is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information, we will take steps to delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. For material changes, we will notify administrators via email or a notice within the platform. Continued use of SubFinder after changes take effect constitutes acceptance of the updated policy.
